I. Booking & Payment Policy (Chính sách Đặt tour & Thanh toán)

Deposit Requirement: After booking, you will be required to make a deposit of 30% of the total tour price via our PayPal account to secure your slots. However, some tours may be exempt from this deposit if you see the “Book now, pay later” tag displayed on the product page.

Important Note: Please ensure your contact details are correct. If our booking agents are unable to contact you within 24 hours after booking, your reservation will be considered a cancellation under our standard policy.

Accepted Payment Methods

​To provide maximum convenience and security for our international travelers, Trip Chip accepts the following payment options:

  • ​For Deposits: Payments must be made online via PayPal (supporting major credit/debit cards such as Visa, Mastercard, and American Express).
  • ​For Remaining Balance: The outstanding balance (70%) must be settled on the day of departure before the tour starts. You can pay via:
    • ​Cash: In Vietnamese Dong (VND) or US Dollars (USD) or Euro (EU)
    • Or Paypal (Have Paypal fee)

Currency & Exchange Rates

  • ​All tour prices displayed on our website are officially quoted in US Dollars (USD).
  • ​If you choose to pay your remaining balance in Vietnamese Dong (VND), the final amount will be converted based on the official selling rate on the actual day of your booking.

Important Fees & Surcharges

  • ​PayPal Processing Fees: Please note that PayPal charges a standard international transaction fee (approximately 4.4% + $0.30 USD). This transaction fee is non-refundable by PayPal in the event of a customer-initiated cancellation.
  • ​Bank Surcharges: For payments made via credit card at our office or to our guides on the departure day, a minor local bank processing fee of 2% to 3% may apply depending on your card issuer.

II. Cancellation & Refund Policy (Chính sách Hủy tour & Hoàn tiền)

At Trip Chip Travel, we understand that travel plans can change unexpectedly. However, because we secure transportation, local guides, accommodations (especially for Nam Cat Tien and Tra Vinh), and community-based services in advance, we must strictly enforce the following cancellation and refund guidelines.

​By booking a tour with us, you automatically agree to the terms outlined below.

Customer-Initiated Cancellations

​All cancellation requests must be submitted in writing via email to [tripchiptravelvn@gmai.com] or through our official WhatsApp/Hotline (+84 965 241 685). The date of the cancellation request will be calculated based on the Vietnam Standard Time (GMT+7).

​Refunds for cancellations will be processed according to the following timeline:

  • ​10 Days or More Before Departure: You will receive a 100% Refund of your deposit. (Please note: The standard PayPal international transaction fee of ~4.4% is non-refundable by PayPal and will be deducted from your total).
  • ​3 to 6 Days Before Departure: You will receive a 70% Refund of your deposit. The remaining is withheld to cover non-refundable advance bookings with our local partners.
  • ​Within 48 Hours or No-Show: No Refund will be issued. 100% of the deposit will be forfeited as we are fully committed to our suppliers and cannot rebook the slots on short notice.

Force Majeure & Cancellations by Trip Chip

​Your safety is our absolute priority. Trip Chip reserves the right to cancel or modify an itinerary due to circumstances beyond our control (Force Majeure), including but not limited to: severe weather conditions (typhoons, extreme flooding in the Mekong Delta, or trail closures in Nam Cat Tien National Park), natural disasters, or official government restrictions.

​In the event of a Force Majeure cancellation:

  • ​We will offer you alternative travel dates or an alternative itinerary of equal value.
  • ​If you cannot reschedule, you will receive a 100% Refund of your deposit, minus any actual, non-refundable expenses already incurred to third-party suppliers (if any).

Refund Processing Time

  • ​Approved refunds will be processed and credited back to the original PayPal account or credit card used during booking.
  • ​Please allow 5 to 10 business days for the funds to appear in your account, depending on PayPal’s system and your banking institution’s processing times.

III. Medical Conditions, Dietary & Special Requests (Y tế, Chế độ ăn uống)

At Trip Chip Travel, we strive to provide an inclusive and authentic experience for all our guests. Since our tours involve active exploration—such as trekking in Nam Cat Tien National Park, cycling through local villages, or tasting authentic regional cuisine in Tra Vinh—it is essential that we are aware of your specific needs ahead of time.

Dietary Requirements & Food Allergies

  • ​Customer Responsibility: Guests are strictly required to notify Trip Chip of any specific dietary requirements, food allergies (e.g., peanut allergies, gluten intolerance, seafood allergies), or religious dietary restrictions (e.g., vegetarian, Halal) at the time of booking or at least 48 hours prior to tour departure.
  • ​Local Limitations: While we make every reasonable effort to accommodate your dietary needs with our local culinary partners and homestays, Trip Chip cannot 100% guarantee that cross-contamination will not occur in remote or local village settings. Trip Chip will not be held legally liable for any allergic reactions that occur during the tour.

Medical Conditions & Physical Fitness

  • ​Physical Requirements: Some of our itineraries require a moderate level of physical fitness (e.g., trekking, walking over uneven terrain, or boarding local boats). It is the guest’s responsibility to ensure they are physically fit enough to participate safely.
  • ​Pre-existing Conditions: Guests must inform us of any pre-existing medical conditions (such as asthma, severe allergies, heart conditions, or limited mobility) that may require special attention or medication during the trip.
  • ​Right to Decline: For your own safety, Trip Chip reserves the right to decline or cancel a booking if a guest’s medical condition or physical fitness level poses a significant risk to themselves or the rest of the tour group, without any liability for refunds.

IV. Travel Insurance Liability (Trách nhiệm Bảo hiểm Du lịch)

Travel insurance is one of the most critical aspects of international travel. Please read our liability policies regarding personal insurance coverage carefully before embarking on your journey with us.

Mandatory Insurance Recommendation

  • ​Trip Chip Travel officially states that personal travel insurance is NOT included in any of our tour prices.

  • ​We highly recommend (and strongly advise) that all international travelers secure a comprehensive travel insurance policy from their home country before departing for Vietnam.

Required Coverage Scope

​Your travel insurance policy should ideally cover, but is not limited to, the following unforeseen events:

  • ​Emergency medical expenses and hospital stays in Vietnam.
  • ​Medical evacuation and repatriation.
  • ​Trip cancellation, interruption, or significant delays.
  • ​Loss, theft, or damage to personal baggage, cash, electronics, and travel documents (passports, visas).

Limitation of Liability

  • ​Assumption of Risk: By purchasing and participating in our tours (especially eco-tourism and outdoor activities in Nam Cat Tien or the Mekong Delta), guests acknowledge and voluntarily assume all inherent risks associated with travel in developing regions and outdoor environments.
  • ​Financial Claims: In the event of an accident, injury, or property loss, all financial claims must be directed to your personal travel insurance provider. Trip Chip will gladly cooperate and provide any necessary tour receipts or incident reports to assist you with your insurance claim, but we will not provide direct financial compensation.
